Position Title: PIC Admin Events (Daily Worker)

FHI 360 is the prime implementer of USAID Indonesia's Tuberculosis Private Sector Activity (TBPS) which aims to contribute to national goals to reduce tuberculosis (TB) incidence and mortality by increasing the number of private provider clients who are correctly diagnosed, notified and receive quality TB services.

The project is seeking a PIC Admin Events (Daily Worker) to support daily events in Kota Samarinda.

Overall Scope of Work

Provide support on logistics, general and financial administration to all workshops and meetings conducted by USAID TBPS project based on email confirmation from PIC Program prior to the event.


Specific Scope of Works

1.        Provide administrative and logistic assistance under supervision/guidance of PIC Program and coordination with Jakarta Operations team as follow:

a.     Assist in travel arrangement (ticket, hotel booking, airport pick up, etc.) for Jakarta Staff in coordination with Jakarta Operations team

b.     Ensure all visibility materials for the workshop such as posters, banners are in place (in coordination with Jakarta Operations team);

c.     Assist/monitor participants' hotel check-in/check-out (in coordination with Jakarta Operations team);

d.     Prepare Registration/Attendance list;

e.     Prepare all participant's name tag and table-top sign boards;

f.      Ensure all refreshments/meeting package are available on time and in accordance to the approved Purchase Order;

g.     Prepare all office stationeries needed according to workshop/meeting requirements (refers to TOR);

h.     Ensure all the meeting arrangement (receptions, tables arrangement and participants) are in accordance to the PIC program requirements;

i.       Maintain contact person's name and number (mobile phone) of the meeting venue;

j.       Consult with PIC Program or Operations team in Jakarta if there are issues in the event, such as: number of participants exceed the issued PO, loss of training equipment, etc;

k.     Assist on distributing all workshops/meetings materials as per PIC program's guidance;

l.       Collect and follow up SURAT TUGAS and SPPD from participants as required;

m.   Making sure all workshop's electronic devices are available and working properly;

n.     Stand by during the event for any troubleshooting;

o.     Ensure all documents are obtained and submitted to related persons and equipment are returned to their owner in a good condition. 
 

2.        Assist in financial administration works in coordination with PIC Program and Jakarta Operations Team

a.     Manage cash advance received from PIC Program and ensure it is kept in a secure place;

b.     Ensure all receipt forms are in accordance with USAID TBPS format and financial policy (amount/rate);

c.     Prepare summary of participants' attendance list and submit it to Jakarta Operations Team so they can prepare allowance list

d.     Distribute transport and per diem and any other allowances/reimbursement to participants as per allowance list provided by Jakarta Operations Team;

e.     Prepare Advance Clearance Form (reconciliation) with all the supporting documents for the workshop/meeting at the end of the event.  Ensure that all expenditures are supported with proper and original receipts.  All receipts must be glued on A4 paper, numbered and arranged in date sequence; 

3.        Perform any duties from the PIC Program as assigned. 


Knowledge & Skills

1.        Knowledge of administrative and general office practices administrative as well as planning skills.

2.        Good proficiency in computer software applications, especially Microsoft Word and Excel.

3.        Good command of spoken and written English and proficiency in local language.

4.        Ability to work under minimum supervision

5.        Ability to handle multiple tasks and demanding schedules to deliver high quality results on time.

6.        Resourceful in gathering and providing information.

The Eijkman-Oxford Clinical Research Unit (EOCRU) in Jakarta opened in 2008 with the signing of a memorandum of understanding between the Eijkman Institute for Molecular Biology and the University of Oxford, to conduct collaborative research on infectious diseases impacting the health of Indonesians and residents of other Southeast Asian nations. University of Oxford also has a partnership (MoU) with Universitas Indonesia, and they jointly established the Universities of Indonesia and Oxford Clinical Research Laboratory (IOCRL) which is a facility dedicated to supporting collaborative clinical research between the universities. EOCRU is also part of the Oxford Tropical Network with research units in Africa, Asia and UK, and operates under the auspices of the Oxford University Clinical Research Unit in Vietnam.

 

Clinical trials of chemotherapeutics, diagnostics and vaccines for tropical infections of public health importance in Indonesia, principally malaria, tuberculosis, antimicrobial resistance, and other emerging and neglected tropical diseases, form the core of EOCRU's activities, with associated epidemiological, laboratory, and clinical research. EOCRU aims to have a positive and significant impact on the prevention, diagnosis and treatment of infectious diseases to improve patient care in Indonesia and the region. This is being achieved via an expanding long-term research programme with our local hosts and partners, contributions to research training, and public engagement with science. Current EOCRU core staff includes 3 Oxford-employed expatriate scientists, 10 Indonesian scientists, 6 administrative and finance support staff, and approximately 30 clinical trials support staff.

 

In conducting their work in Indonesia, EOCRU is assisted by Alliance for Emerging and Re-emerging Disease Threats in Asia Foundation (ALERTAsia), a local foundation assisting in research grant management and capacity building for local researchers.

 

Through ALERTAsia we are seeking a qualified and experienced Site Study Physician. S/he plays an important supporting role in the conduct of the clinical work for studies under the supervision of Clinical Trial Operations Manager and will also work closely with the local study team.

Job Description

  • Organise clinical trial activities at site and supervise study team (health workers, nurse) daily clinical trial-related activities.
  • Carry out clinical activities as scheduled in the protocol, including but not limited to obtains Informed Consents, performs physical examination, checks vital signs and symptoms, performs ECG examination, and draws blood sampling for laboratory test.
  • Conduct screening on the potential participants, based on inclusion and exclusion criteria stated in the protocol.
  • Visit study participants at their houses or workplace in a timely manner to monitor their health or to conduct any necessary follow ups, as required by the protocol.
  • Report and discuss immediately in case of SAE to a clinical safety physician or relevant PIC.
  • Provide primary healthcare management or first aid to study participants experiencing AE/SAE related to the study intervention.
  • Arrange the evacuation of study participants with SAE and any case of medical emergency occurrence, to the referral hospital.
  • Report and discuss all progress of clinical work of research activities to the site clinical coordinator.
  • Document and report any protocol deviation occurred during the study period in a timely manner.
  • Ensure clinical trial activities at site are conducted in accordance with the latest version of clinical trial protocol, Good Clinical Practice (GCP), Cara Uji Klinik yang Baik (CUKB) and other applicable local regulations and requirements.
  • If required, contribute to data management and analysis of clinical trial results.

 

Job Requirements

 

Essential:

  • Medical doctor with demonstrable experience of at least 1-year duration in one or more of the job descriptions outlined above;
  • Excellent written English and Bahasa Indonesia, with proven ability to research and write accessible;
  • Actual or near fluency in spoken English and Bahasa Indonesia;
  • Previous research experience;
  • Computer literacy and proficiency;

The USAID Indonesia Urban Water, Sanitation and Hygiene, Penyehatan Lingkungan Untuk Semua (IUWASH PLUS) program is a five-and-a-half-year initiative designed to assist the Government of Indonesia (GOI) in increasing access to water supply and sanitation services as well as improving key hygiene behaviors among urban poor and vulnerable populations. USAID IUWASH PLUS works with governmental agencies, the private sector, NGOs, communities and others to achieve the following "high level" results:

 

1.           An increase of 1,100,000 people in urban areas with access to improved water supply service quality, of which at least 500,000 are from the poorest 40% of the population (also referred to as the "Bottom 40%" or "B40"), vulnerable groups or Indonesia's eastern provinces; and

2.           An increase of 500,000 people in urban areas with access to safely managed sanitation.


To ensure that improvements in access to WASH services are sustained, USAID IUWASH PLUS is guided by a development hypothesis that focuses on strengthening service delivery systems, so they can more effectively reach the poorest and most vulnerable segments of the population. In order to achieve this at scale, the program undertakes activities through four interrelated components, including: 1) improving household WASH services; 2) strengthening city WASH institutional performance; 3) strengthening the WASH financing environment; and 4) advancing national WASH advocacy, coordination and communication. In support of these components, USAID IUWASH PLUS also implements a Local Sustainability and Innovation Component (LSIC) that is designed to stimulate WASH innovations that strengthen community, private sector and government WASH service provision.

Short-Term Technical Assistance (STTA) for Junior Layout/Graphic Designer - Jakarta/National Office (Job Code: STTA/JLGD-JKT)

 

Objective

The Junior Layout/Graphics Designer will work under the direction of the USAID IUWASH PLUS National Coordinator for Project Communication as part of the Project Communication Team within the Advocacy and Communication (component 4) Team. In general, he/she must have the ability to handle the layout and design of USAID IUWASH PLUS technical reports and knowledge products, as well as providing technical assistance in graphic design and document formatting for all USAID IUWASH PLUS publications.


Tasks and Responsibilities

The tasks and responsibilities of the Junior Layout/Graphics Designer will include, but not be limited to, the following:

  • Support the development and production of USAID IUWASH PLUS technical reports, publications, signature programs, and other knowledge product;
  • Support the development and production of USAID IUWASH PLUS digital materials, including video and other IEC materials for social media;
  • Provide technical assistance in graphic design and creative insights for all USAID IUWASH PLUS communications materials;
  • Work closely with the Graphics/Layout Specialist to ensure the layout and design of the reports, publications, signature programs, and other knowledge products have the same style and quality;

 Minimum General Qualifications:

  • A minimum of bachelor's or diploma degree in visual art major or visual communication design major or similar;
  • Minimum of three (3) years' experience working in visual communication design or a similar role. Having experience in working in non-profit institutions or development projects such as USAID projects is an asset;
  • Having skills and experience in using various design software, most preferably Adobe Graphic Design. Having additional skill on using MS Word for report layout is highly desirable;
  • Creative, attention to detail and able to work in a team;
  • Reachable during working days and easy to communicate, including attending meetings if necessary;
  • Ability to work under pressure and meet deadlines with quick turnarounds.

COUNTER WILDLIFE TRAFFICKING PROGRAM

Wildlife trafficking is having a devastating effect on many species across the globe. It undermines local livelihoods, promotes the spread of zoonotic diseases, weakens the rule of law, exacerbates corruption, provides revenue for violent armed groups and organized crime syndicates, and is recognized as a global security threat. WCS's approach embodies a long-term commitment to government partners for counterwildlife trafficking and the protection of landscapes critical for biodiversity.

WILDLIFE CRIME LEADERSHIP INITIATIVE

The Wildlife Crime Leadership Initiative combines international best-practice with highly context-specific instruction for government law enforcement leaders in countering-wildlife trafficking. The program is a collaboration between law enforcement instructors, subject matter experts, academics, and government law enforcement training institutions. Delivery takes a blended approach, combining in-person events (Covid- 19 mitigation measures dependent) with synchronous and asynchronous online learning. Through this longterm leadership program, officers receive training not only in operational skills to counter wildlife trafficking, but also executive leadership & management skills and an understanding of the value of wildlife. The participating officers are from supervisory positions overseeing units that conduct counter wildlife trafficking operations so instruction is very practical in nature; the officers will most likely use what they learn immediately in their day-to-day work. An instructional designer is required to coach and advise project teams (comprising subject matter experts, national law enforcement training academy staff and project staff) in designing courses that apply the most appropriate adult education methods to the complex field of countering wildlife trafficking.

SCOPE OF WORK

Provide consultancy advice and training to the project teams in the host countries, it will not involve implementation of the activities themselves.

SPECIFIC ACTIVITIES AND DELIVERABLES

1. Coach and advise project teams formed of Indonesian, Vietnamese and international subject matter experts, instructors and project staff to design three law enforcement courses.

  • Provide frameworks for, and training in, execution of instructional analyses (e.g. analysis of learners, their context, and tasks) for three 40-hour courses (plus pre and post activities) 
  • Advise on the structuring of competencies and recommend appropriate assessments and frameworks for grading 
  • Advise on the evaluation of learning and impact

2. Support production of online learning materials as required

MINIMUM REQUIREMENTS

Background

DAI Indonesia has been engaged under the (UK) Fleming Fund Country Grant to strengthen the National Antimicrobial Resistance (AMR) and Antimicrobial Use (AMU) surveillance system in an integrated manner employing a One Health approach in Human Health, Animal Health and Aqua-culture sectors. There will be two (2) human National reference laboratories which are coordinated under the Directorate of Health Services and Referral, Ministry of Health: BBLK Jakarta and BBLK Surabaya. Both of the labs will function as the center of AMR referral and will provide technical capacity building for Human Health sentinel laboratories throughout Indonesia. The work will also support animal health laboratories under the Ministry of Agriculture, including the animal health reference laboratory in Bogor (BPMSPH) and the Disease Investigation Centre (DIC) Wates located near Yogyakarta and animal health sentinel laboratories in eastern Indonesia

 

The capacity building for sentinel laboratories will cover a range of activities such as assessment, development of capacity strengthening plans, training, lab renovation, lab procurement, AMR and AMU report management, maintenance of equipment, lab logistic management, biorepository set-up and management, and support for the establishment of EQAS. All activities will have to meet standard of the ISO 17025 and 15189.

 

It is intended that a specialized and qualified laboratory expert will be engaged to perform all above activities under a full-time contract.

 

Purpose of This Post

DAI Global Health is seeking a dynamic and experienced professional for the full-time position of Laboratory Capacity Building Expert - Surabaya

 

Description of Duties

 

Specific responsibilities include:

§  Coordinate all Lab workplan activities and deliverables with HSP Senior Laboratory Lead and Eijkman Lab Expert at the Central level;

§  Prepare material and assist in the conduct of a full laboratory assessment using a standardized tool;

§  Assist in the development of a capacity building plan based on assessment results;

§  Prepare training and capacity building material, schedule trainings, and liaise with sentinel labs;

§  Conduct AMR and AMU Capacity Building and Training with BBLK Surabaya for AMR Sentinel laboratories;

§  Ensure that all the FF Country Grant work plan deliverables related to BBLK Surabaya and assigned sentinel sites will be achieved within the specified time frame;

§  Assist with the country team administration for procurement, renovations, maintenance and others per the scope of activities above, as required;

§  Liaise with Fleming Fund program and operations staff and with the focal points of the labs, as required;

§  Prepare weekly, monthly, and final progress reports and share with supervisor;

§  Ensure and monitor the labs’ logistics and AMR report flow every month from sentinel sites to BBLK Surabaya and up to the National Coordinating Committee (NCC, MoH).

§  Any other tasks assigned by the supervisor or his/her designee.

 

Qualifications and Skills

§  Advanced degree in medicine, microbiology, clinical pathology, medical technology or equivalent

§  At least 5-7 years’ experience in laboratory diagnostics, specifically bacteriology (culture and identification, AST), quality management, and biosafety.

§  Demonstrated experience conducting comprehensive assessments of laboratories as well as personnel competency testing.

§  Demonstrated experience teaching courses, conducting workshops, bench training, or giving seminars on relevant topics.

§  Experience engaging with government officials, policy-making bodies, and international nongovernmental organizations.

§  Working knowledge of Microsoft Office, including Word, Excel and PowerPoint.

§  Excellent written and verbal communication skills in Bahasa Indonesia and in English.
