The Deutsche Gesellschaft für Internationale Zusammenarbeit (GIZ) GmbH is an international cooperation enterprise for sustainable development with worldwide operations on behalf of the German Government.

The "Sustainable Agricultural Supply Chains in Indonesia (SASCI)" project, in collaboration with its main government partner, Ministry of Agriculture (specifically the Directorate General of Estate Crops) supports the Government of Indonesia in its efforts to reduce GHG emissions from deforestation and forest degradation by promoting sustainable supply chains for selected agricultural commodities (primarily natural rubber and palm oil) by smallholder farmers in Kapuas Hulu district, West Kalimantan. With the project aiming for a jurisdictional approach, the project objective "Establishment of deforestation-free agricultural supply chains for renewable commodities with global markets" shall ensure that legally protected forest ecosystems in Kapuas Hulu district (the „jurisdiction") in West Kalimantan province are not negatively affected in quality (degradation) or quantity (deforestation) by the production of selected agricultural commodities.

The project comprises four main outputs: (1) Strengthening the capacity of smallholder farmers for sustainable production of natural rubber and palm oil (and other agricultural commodities); (2) In-creasing the capacity of government organisations, civil society actors and the private sector for sustainable agricultural commodity supply chain implementation, including conflict-resolution mechanisms; (3)  Strengthening national initiatives for implementation of sustainable agricultural commodity supply chains; (4) Smallholder farmers in Kapuas Hulu district, West Kalimantan have access to global markets. Project progress and impacts will be measured through a set of indicators at out-come and results level (Results-Based Monitoring – RBM).

To support implementation of the project, we seek one (1) motivated and qualified Indonesian candidate for: 

Driver & Office Assistant 

A.    Responsibilities 

  • Safely and responsibly perform all official travel using official vehicles
  • Manage official vehicle matters (logbook, insurance, tax, STNK/car licence) and prepare vehicle-related vouchers accordingly
  • Ensure that official vehicles are always road-worthy in compliance with laws and regulations
  • Ensure that official vehicles are regularly serviced and maintained
  • Monitor the state of official vehicles daily and ensure that they are clean and tidy
  • Keep updated on all available information on traffic and road conditions, accessible routes and locations
  • Keep office premises clean and tidy
  • Run official errands and assist with other office services, as required.
 

B.    Tasks 

1.    Vehicle Management

Driving and chauffeuring

  • Drives office vehicles safely and takes office staff, official visitors, and guests to official destinations
  • Helps with the transporting of goods
  • Completes the vehicle log book correctly and conscientiously in accordance with GIZ standards
  • Does not use the vehicle for own private purposes at any time. Private use of GIZ project vehicles is considered as serious misconduct and will immediately lead to a warning and may result in dismissal.

 

Services

  • Cleans the interior and exterior of the vehicles regularly
  • Checks oil, water, brakes and brake liquid, tires and tyre pressure, battery liquid level, headlights, windscreen, mirrors, and bodywork for cracks and dents, etc., monthly or every 5,000 km (whichever is first)
  • Assumes responsibility for the project vehicle documents and their good condition, fills in the vehicle logbook daily, and registers each monthly check
  • Calculates daily parking and toll road fees and settles the cash advance immediately after the completion of each trip
  • Reports the need for maintenance and carries out minor repairs
  • Immediately reports all involvement of the project or office vehicle in accidents, including minor accidents, damage, loss or theft of vehicle fittings
  • Always ensures unrestricted availability of vehicles and reports restrictions immediately

 

Knowledge management

§  Uses all available information (including current radio broadcast on traffic conditions and Apps on mobile phone) to update daily the knowledge of road conditions, current passable routes and locations, and shares this information with other office drivers.

 

2.    Office Services and Administration

General Services

§  Cleans and tidies the office premises

§  Sets up and prepares the meeting rooms as instructed

§  Provides services at meetings, e.g. serves coffee and tea for guests and visitors

§  Runs project errands e.g., delivery of official letters, etc. as required

§  Assists in proper maintenance and repair of office premises and equipment, as relevant

§  Reports major damages to office premises and equipment

 

Supports Office Communications and Administration

  • Operates the telephone and informs staff of important communications
  • Makes photocopies and scans documents, as requested
  • Supports the Project Administrator in collecting project funds from the bank, paying office bills, and buying small quantities of office supplies and stationeries, if requested
  • Supports and checks office logistics (supplies & stationeries) and reports it to Project Administrator
  • Supports the office for messenger services, e.g.: sending letters and messages
  • Assists in the logistical management of the meetings, workshops and other activities of the project, such as documenting events (taking photos)
  • Supports the Project Administrator in filing and organizing support documents of project
  • Supports the Project Administrator in labelling inventory 

3.    Other duties/additional tasks

  • Assists other colleagues as needed if there is no duty travel and carries out other office work as assigned
  • Reports any incident whilst off duty that may affect her/his driving license entitlement, as well as any newly known health problems that may affect her/his ability to drive
  • Undertakes further job training and is willing to upgrade skills related to her/his position and duties - corresponding measures are agreed with management.
  • Requests overtime in writing to the Project Administrator well in advance. 

 

C.    Required qualifications, competences and experience

 

Formal education

§  Senior High School Graduate

 

Professional experience

§  Holding a valid driver's licence is a MUST

§  At least 3 years' professional experience as a driver with references

§  No major accidents in the past 3 years

§  A clean criminal record

§  Discipline and punctuality, resilience and patience, appropriate appearance and attire

§  Very good knowledge and familiarity with Putussibau area and Kapuas Hulu district in general

§  Basic knowledge of English

 

Essential skills, additional competences and other knowledge

§  Basic working knowledge of ITC technologies (related software, phone, fax, email, the internet) and computer applications (e.g. MS Office)

§  Willingness to learn new skills as required by the duties.

 

 

Duty Station: Putussibau, Kapuas Hulu, West Kalimantan
