KOMPAK Program

KOMPAK is an Australia-Indonesia government partnership supporting the Government of Indonesia's efforts in reducing poverty through improvements in basic service delivery and creating opportunities for work. KOMPAK focuses its efforts on three result areas:

  1. Supporting Local Governments and Service Units to better address the needs of basic service users;
  2. Supporting the poor and vulnerable to benefit from improved village governance; and
  3. Supporting the poor and vulnerable to benefit from increased opportunities for employment and economic development.

 

The Opportunity

The Grant and Contracts Coordinator is responsible for supporting and ensuring compliance of the KOMPAK contracts management process. This role will work closely with the KOMPAK Partner Capacity Building and Compliance Manager, and the broader Operations team, as well as the relevant Program team staff, and Abt Associates Head Office team.

 

Key Duties

Under general guidance of the Partner Capacity Building and Compliance Manager, manage administrative support for all Contracts Unit services including but not limited to:

Assist in reviewing the congruence between Workplan, Budget, and Milestones of contract agreements.
Assist in conducting induction training on KOMPAK policies, payment processes and reporting mechanism for KOMPAK staff and Partners.
Conduct monthly acquittal review for Partner expenditure, communicate findings to Partners with relevant recommendations (if any) and pro-actively follow up with Partners on implementation of such recommendations
Pro-actively follow-up with Partners to ensure monthly financial reports and expenditure forecasts are submitted on time and as per the requirements set out within procurement and grant management policies
Assist in raising Pos in Netsuite, prepare payment requests for Partners and ensure contractual requirements have been met. Liaise with KOMPAK Finance Team to ensure timely processing of payments
Records management for all related documents (sub-contracts, grant agreements, payment requests, financial reports, acquittal reviews, outputs/ deliverables Including review and approval), formal communications etc.) both within KOMPAK's Contracts Management System and shared drive

Key Requirements

  • Degree in business, commerce, accounting/finance, economics or related subjects
  • At least 7 years' experience in managing grant activities within projects funded by international organizations
  • Previous qualifications and experience related to the applied position specifically in development programs in Indonesia
  • Full compliance of grant activities with prevailing corporate rules, regulations, policies, and strategies
  • Strong in accounting and financial reporting
  • Strong time management, organisation and administration skills
  • Understanding of gender equality and social inclusion issues
  • High level English language proficiency
  • Ability to maintain confidentiality and demonstrate professionalism, work independently and as a team
  • Ability to adapt to a fast-paced working environment with multiple deadlines
  • Has initiative and problem-solving skills, strong computer skills and be able to work in Microsoft Office
