Job Description: FINANCE AND OPERATION MANAGER FOR YAYASAN ISHK TOLARAM INDONESIA
Yayasan Ishk Tolaram Indonesia is a philanthropic organisation that provides access to quality education, healthcare and skills training to underserved individuals in Indonesia. We are part of Ishk Tolaram Foundation Ltd., based in Singapore.
The Finance and Operation Manager is responsible for the finance and operations side of Yayasan Ishk Tolaram Indonesia and its subsidiaries, including but not limited to managing the finance, procurement, logistics administration, and human resources of the country office.
Job Scope of Finance and Operation Manager
I. Finance and Accounting
- Prepare annual country budget and track and report year-to-date (YTD) expenses to Program Director (PD) and board on a regular basis
- Provide budget projections on a quarterly basis for Yayasan Ishk Tolaram and PT Ishk Medica Indonesia to be submitted to the Program Director and Boards.
- Enter weekly bookkeeping data into the cloud accounting system.
- Manage and file all bank statements and other relevant financial documents in an organised and timely manner.
- Prepare monthly financial statements for the Finance Manager (FM) in Singapore
- Liaise with the Finance Manager (FM) in Singapore for consolidating monthly statements into the master accounts.
- Ensure compliance with all local laws regulations and maintain strict confidentiality on all sensitive information related to the role.
II. Tax and Audits
- Managing all the tax processes related to Yayasan Ishk Tolaram Indonesia and its subsidiary companies, according to the government regulation and policies.
- Compile and ensure the tax reports are submitted to the tax office according to the mandatory timeline in the regulation and policies.
- Share financial statements and supporting documents with local auditors for annual audit.
- Share annual financial statements and other related information with the FM in Singapore for global audit.
- Ensuring the risk and compliance management framework is embedded and operational for the Yayasan and its subsidiary companies
- Oversee the process for identifying and evaluating opportunities for improved financial operations, record keeping and reporting
III. Admin, Logistic and Procurement
- Assist and support operations team for administration and filing system (hardcopy and softcopy)
- Support the Program Director and Boards, responsible for the contract, agreements, purchase orders, including processing the payments to the payee as per the approved contract.
- Liaise with contractors, vendors, and service providers to get the best services for Yayasan Ishk Tolaram and PT Ishk Medica Indonesia
- Carry out other administrative tasks as required by the Foundation and the Company.
- Ensure all legal guidelines are adhered to in the operations
- Adhere to local policies and regulations in the execution of daily activities.
- Managing and coordinating record keeping, maintenance, and disposal of assets and inventory
IV. Networking and working relationship
- Build a relationship with other members in Tolaram Group to understand TG perspective in addressing local issues.
- Maintain networks and relationships with related external parties such as lawyers, notaries, government officials, and other related counterparts that support the Yayasan and the company.
2. Skills
- Fluent in written and spoken English and Bahasa Indonesia.
- Excellent financial management skills including the management of budgets, cash flows, and profit and loss statement.
- Strong communication and presentation skills.
- Above-average command of IT software including GSuite and MS Office (in particular Excel).
- Above-average command of cloud accounting software.
- Advanced Accounting and finance knowledge.
- Advance knowledge on tax and audits.
- Advanced data entry skills.
- Ability to prepare and review a basic legal agreement or other legal documents.

4. Academic / Work Experience
- Minimum education level: S1 University graduate
- Minimum work experience: 7 years in accounting and financial management in an organisational setting
- Experience in working with profits and non-profit organizations will be an advantage
- Experience in Public Accountant Firm will be an advantage
