Statement Of Work – Training Assistant (TA):

 

General Description

Under the supervision of the Training Manager (TM), the Training Assistant (TA) provides support to the Peace Corps Indonesia education program. The TA works with the TM and Language and Culture Coordinator (LCC) as part of the Training Unit. The TA must consistently use a range of logistics skills that include calendar maintenance, digital storage organization and presentation design. The TA also works closely with other Peace Corps staff to help manage Peace Corps' Learning Management System.

 

Peace Corps Indonesia employs several weeks of orientation and training to prepare new staff members for their roles in the organization.

 

Summary of Responsibilities

Administrative Support

§  Provides logistical and administrative support, ensuring all training logistics in place before, during and after training events which include Pre-Service Training (PST) and In-Service Trainings (ISTs) with programming and training staff, administrative and other staff as appropriate.

§  Prepares and updates relevant training databases, documents and files in a timely and complete manner.

§  Ensures open communication and regular meetings with the TM and LCC, as well as other Programming and Training Unit (PTU) staff, as these positions must work closely and effectively together.

§  Coordinates with TM, LCC and General Services Assistant (GSA) to identify, schedule and provide logistical support for all staff and guests participating in training related events and activities, which include travel to the training site (site visit) or any other location of a training event.

§  Schedules, briefs and provides logistical arrangements for Resource Volunteers (RVs) during PST and guest speakers during training events.

§  Assists the TM and LCC in initiating and maintaining appropriate contacts with organizations that assist in training events or are likely to collaborate with Peace Corps Volunteers (PCVs).

§  Acts as the point of contact to Peace Corps Washington and PCVs and Peace Corps Trainees (PCTs) for the World Wise Schools correspondence match program.

§  Assists the TM on calculating and updating all budgets and accounting tools.

§  Acts as sub-cashier in all training events and activities throughout the year.

§  Serves as back-up to TM and LCC as needed.

 

Digital Assets Management

§  Assists the TM and LCC in designing courses in Peace Corps' learning management system (LMS)/ LearningSpace.

§  Acts as LearningSpace Course Coordinator and Reviewer that includes scheduling opening and closing dates, enrolling participants, reviewing training content developed by different staff members, updating LMS elements and troubleshooting.

 

Trainee & Volunteer Training Support

§  Assists the TM in a Training Design and Assessment (TDA) process that includes updating a continuum of learning and assessment, and a learning and development plan.

§  Coordinates with Community Liaison (CL) and General Services Assistant (GSA) in arranging weekly details of transportation, listing inventory, site visit arrangements and other logistical and administrative tasks.

§  Assists Homestay Coordinator with host families during PST or host families in PCVs permanent sites as needed. Assists PCT/Vs in improving their job performance and their social and cultural adaptation through cultural insights, and direction to relevant and available resources.

§  Supports PCTs with personal and cultural feedback and guidance on various policies and procedures, as needed.

§  Is required to participate in a Language Proficiency Interview (LPI) Workshop and pass the tester certification. As an LPI Tester, evaluates Trainee and Volunteer language abilities using the required methods and criteria of the Language Proficiency Interview.

§  Contributes to the assessment of PCT/Vs' needs for training by participating in site visits and reviewing self-assessments prior to training events.

§  Coordinate with CL to establish relationships with schools at the PST training site in order to provide teaching practicum experiences to PCTs.

§  Acts as a facilitator of training sessions when needed during training events.

 

Monitoring, Evaluation and Reporting Duties

§  Administers all monitoring and evaluation surveys and tools and compiling responses as well as supporting the MRES in other training related data collection/cleaning tasks.

§  Assists TM in preparing and delivering training event debrief meetings.

§  Assists TM in preparing PST and IST training reports.

 

Resources for Adult Learning Management Duties

§  Circulates information that supports PCV activities.

§  Develops and updates printed and electronic resources for PCT/Vs as needed.

§  Compiles and distributes best teaching practices of PCT/Vs for use in training and reporting.

§  Responds to PCT/Vs' and CPs' requests for training-related materials.

§  Collaborates with IRC Manager to manage Information Resource Center (IRC) materials for training events.

§  Posts and organizes relevant resources to available media, e.g. Learning Space, including notifications about newly received materials.

 

Other

§  Participates as a member in the post's Volunteer Support Team.

§  Is consistent and assertive in enhancing PC policies and procedures.

§  Observes professional code of ethics in regard to PCT/Vs, staff and the community.

§  Observes the limits of confidentiality with PCT/Vs and staff.

§  Promotes learner independence and PCT/Vs' self-sufficiency.

§  Performs other duties as assigned according to Peace Corps Indonesia's needs

 

Qualification

Minimum Requirement:

At a minimum, the successful candidate's CV must demonstrated the following:

§  University/college degree required, preferably in English Education.

§  Minimum 2 years' experience in administration, logistics and digital design.

§  Familiar with pedagogy and adult education.

§  Experience working in a cross-cultural setting.

§  Oral and written fluency in Bahasa Indonesian and English required, to a level capable of providing interpretive services at training events and other Peace Corps functions.

§  Strong task management skills that include multitasking and managing multiple calendars and logistics coordination.

§  Ability to use computer and Microsoft Office suite. Skills in digital design, presentation design or slide deck is a plus.

§  Ability to act with diplomacy and tact with staff, PCT/Vs, community members and government officials.

 

Preferred Qualifications:

§  Knowledge of Javanese, Madurese, Sundanese, Bahasa Kupang or other local languages preferred.

§  Knowledge of Peace Corps' participatory development.
