As we are constantly expanding, we are currently hiring to fill the following position for our office in Jakarta:
Senior Budget & Reporting Manager
(Code: SBR-M)
The position will manage budget development, budget management, financial reporting, and analysis for Konservasi Indonesia's program and project budgets, audits, cost proposals, oversee and/or lead financial system data entry.
This position will track and report on the Konservasi Indonesia program and project budget and reporting. This position also ensures compliance with donor and KI policies regarding the use of funds.
This position does not directly supervise staff. Work duties are performed under limited or as-needed supervision.
KEY RESPONSIBILITIES
Budget Management
· Responsible and in-charge for developing budget for program development. Working closely with the budget holders and responsible program in-charge on preparing and create budget proposals.
· Prepare and manage annual/three year budgeting process and meeting institutional deadlines, incorporating multi-year budget for project/program considerations, and soliciting inputs from appropriate budget managers.
· Adjust the annual budget on monthly basis to ensure the revenue allocations and expense budgets reflect current information and are an accurate forecast of expected project expenses.
· Lead discussion and coordinate updates needed for monthly budget review meetings with Operations Director, Budget Holders, and Senior Management Team.
· Manage and/or oversee cost and staff allocations.
Reporting & Analysis
· Produce accurate and compliant donor financial reports by the due date, coordinating inputs and approval from other individuals and teams as required.
· Produce and/or oversee internal budget vs actual reports to be shared with cost centre managers monthly and ensure accuracy of reporting, compliance with the approved budget, and eligibility of expenses incurred as well as providing analysis on project burn-rates and variances
· Lead the development and ongoing preparation of relevant financial management dashboards and reports for management as required. Create dashboard monitoring that cover budget vs actual, implementation rate base on criteria: program/project, budget source, cost category, regions, account type and other additional categories as needed.
· Consolidate the regular project financial report which includes overspent donors, project past due, etc.
· Assist in creating and managing the Project Master Files
· Lead preparation and presentation of financial information in staff meetings, as required. Including Yayasan annual financial report preparation for board meeting
· Support project and/or program-specific audits and evaluations.
· Support KI's institutional audit as needed.
Other Responsibilities
· Advise staff on donor requirements and provide training on policies as needed to ensure compliance.
· Liaise with the Grants & Contracts Unit on sub-grants and sub-contracts financed by program funds on issues impacting financial reporting, donor compliance, procurement methods, and issues related to adherence to donor terms and intent.
· Liaise with Accounting and Finance unit to ensure the data gathered for financial reporting is accurate & updated and to follow up on necessary adjustments and corrections.
· Supervise and/or administer vendor payments.
· Manage asset inventory needs in collaboration with IT or other departments as needed.
· Lead and support ad-hoc projects that impact multiple divisions (special projects manager).
· Other relevant duties as assigned by Operations Director
QUALIFICATIONS
· Bachelor's degree or equivalent in Finance, Accounting, Business Administration, or related field.
· 10 or more years of directly related work experience.
· An experienced leader with international not-for-profit experience.
· Superb analytical skills. Skilled in trends analysis and developing projections.
· Advanced proficiency in Microsoft Excel (pivot tables, vlookups, advanced data processing, advanced formulas, and other data analysis tools available in Excel). Experience in using Business World Integrated system is an advantage.
· Strong communication and presentation skills including the ability to effectively convey complex details or technical information.
· Highly familiar with etiquette, protocol, and employing cultural awareness and sensitivity.
· Proven ability to forge effective partnerships and gain consensus, cooperation, and trust. Skilled in influencing others without direct supervisory authority.
· Highly organized and able to manage multiple priorities simultaneously in a dynamic environment.
PREFERRED
· Graduate-level study or Master's degree preferred
· Experienced in managing multi-lateral or public funding donors
WORKING CONDITIONS
● Typical office environment.
● Flexibility to work extended hours to meet the deadlines required.
● Ability to travel up to 25% as needed.
