Yayasan Mahajana Sosial Fondasi Indonesia (Yayasan Mahajana) is a non-profit organization established in 2021 with the mandate to extend essential medical assistance to people affected by disasters or conflicts, exclusion from healthcare, and pandemics. We are driven by the commitment to ensure that those who find themselves impacted by emergencies receive the essential medical assistance they require.
An essential part of the Yayasan's operational approach lies in its collaborative partnerships with Médecins Sans Frontières (MSF) Spain, renowned globally for its humanitarian medical initiatives. This partnership reflects the Yayasan's commitment to fostering knowledge exchange and mutual learning, aimed at enhancing emergency response capabilities. By collaborating closely with MSF, the Yayasan hopes to gain knowledge and techniques from MSF that will improve its capacity to identify the most urgent medical needs of communities dealing with difficult circumstances.

Accountabilities
Financial Management:
- In close coordination with the Director and the HR and Finance Responsible in MSF Spain HQ, calculating, analyzing, and monitoring the project's HR and Financial operational needs and the associated budget to efficiently ensure the required sizing and capabilities of the project and proper allocation of funds according to funding contracts. Proposing corrective actions when required.
- Overseeing and implementing transactional procedures and systems to ensure transparent accounting practices and comprehensive documentary traceability (including invoices, receipts, bank statements, etc.), thus ensuring adherence to all Indonesian statutory accounting (SAK) regulations, donor requirements, and tax compliance.
- Conducting active communication and facilitating with external parties, especially auditors in the annual audit process and Funding (donors).
- Overseeing and executing various financial reporting tasks to ensure accurate and transparent representation of Yayasan Mahajana's financial status. These responsibilities include:
- Regular financial position reports
- Annual account preparation and audit facilitation
- Annual accounts presentation during annual board meeting
- Timely filling of the Yayasan Mahajana Tax Return
HR Management:
- Keeping updated on Government's employment-related regulations, and promote best practices & improvement of HR management.
- Responsible for planning, supervising, and ensuring the implementation of associated processes (recruitment, training, briefing, induction, evaluation, potential identification, development, and communication) for project staff. This is done in close coordination with the HR Coordinator to ensure the right staffing levels and required knowledge. Additionally, providing support to project line managers in these processes to enhance staff capabilities, their contributions to Yayasan goals, and to foster greater active participation and commitment.
- Advising on set-up and updating the project's organizational chart and job descriptions and assisting the PC, and/or team leaders and supervisors to draw up annual holiday planning and staff shifts in order to forecast HR needs and to ensure HR availability for the project activities.
- Ensuring hiring, amendments and contract termination formalities for employees at project level are according to Indonesia labour laws. Archiving and updating individual employee files, informing them on their rights and preparing all mandatory tax declarations, to ensure legal compliance. In close collaboration with the Country Director, Project Coordinator and HR Responsible, looking for the best options to avoid and/or solve possible labour conflicts in the project.
- Supervising/performing payroll procedures, ensuring that all data related to monthly salary calculation of the project national employees are correctly entered in the HR system (days off, unpaid leaves, sick leaves, overtime, salary advance, etc.), to ensure on time and accurate salary payments. Under supervision of the HR Responsible, ensuring the indexation process of the staff salary grids are in order to ensure internal equity, cost-of-living adjustments and the correct application of employment conditions in the project sites.
- Liaise with relevant government entities, among others BPJS, Ministry/Bureau of Employment, Immigration Office, etc.
Others:
- In close collaboration with the Director, PC and HR Responsible, implementing the administrative procedures of any Memorandum of Understanding (MoU) in force between local partners (e.g. Ministry of Health, etc.) and MSF.
- Willing to join with the Emergency Response Team (Explo) in accordance with experience and competence and is ready to be assigned to the disaster site in accordance with the existing needs.
- Carry out other relevant tasks assigned by, and mutually agreed with, the supervisor.
Education
Bachelor degree in finance/accounting, management, or related fields
Experience
- At least 3 years relevant post qualification preferably in international organization and/or Yayasan. Previous experience in the private sector will be an advantage.
- Sound knowledge with relevant Indonesian laws and regulations (financial and labor)
Languages
Good command of English and Indonesian, both written and spoken are essential.
Knowledge
- Fully computer literate and tech savvy
Salary
IDR18.180.324 to 21.816.389 gross / month (depending on experience)
