ABOUT BETTERWORK INDONESIA

 

Better Work is a unique partnership between the UN's International Labour Organization (ILO) and the World Bank Group's International Finance Corporation (IFC). Launched in 2007, the programme aims to improve compliance with labour standards and competitiveness in global supply chains. Better Work involves the development of both global tools and country level projects. The focus is on developing scalable and sustainable solutions, which build cooperation between government, employer and worker organizations, and international buyers. Improving compliance with labour standards in global supply chains is an important part of a pro-poor development strategy. Ensuring workers' rights and entitlements are protected helps to distribute the benefits of trade.

 

Better Work supports enterprises in implementing the ILO core international labour standards and national labour law and improve the dialogue between workers and employers. This helps enterprises compete in global markets where many buyers demand compliance with labour standards from their suppliers.

 

To achieve its goal, Better Work Indonesia provide advisory, assessment and training services to factories and work with ILO stakeholders to support them in building their capacity to fulfill their role.

In Indonesia, the core services (advisory, assessment and training) is exclusively implemented by Kemitraan Kerja, a national foundation who established in Indonesia since 2016. While the works with stakeholders will continue with the ILO.

 

POSITION DESCRIPTION

The Finance Assistant position is required to assist the Finance Officer in monitoring, performing and recording all financial and tax transactions; safeguarding financial and asset data/formal documents; supporting a highly efficient operation cost at the Foundation.

 

The position also requires good administration and documentation skills, as well as good coordination and communication with all staff and support staff. Being reliable, attention to details, discreet, and meticulous, and have the ability to be flexible in working with all staff across region and as part of the team is essential.

 

The Finance Assistant will report directly to Program Support Manager.

 

RESPONSIBILITIES AND TASKS:

 

Financial Management:

 

1.         Assist FO in performing financial management of the Foundation, including check and monitor the completeness of supporting documents of payment requests, including checking with regulations.

2.         Overall responsibility for accounting system records and financial document storage.

3.         Ensure all the financial documents are stored, filed properly, and easy to track.

 

Petty Cash:

 

4.         Responsible for managing and recording petty cash transactions, including:

·     Handling petty cash for office purpose (supplies, stationary and others)

·     Enter transactions into Finance system

·     Preparing monthly PC reconciliation

·     Regularly conduct cash count & count cycle

·     Ensure complete document of all disbursement

 

Communication and Coordination

 

5.         Communicate with different local external contacts (such as Banks, Auditor, Tax Consultant or Tax Office and Suppliers) in financial and accounting issues if requested by Finance Officer.

6.         Communicate and coordinate with All Staff on financial issues

7.         Communicate and coordinate with HR and Admin on financial related issues of operations, such as payment to consultants, suppliers and vendor, insurance premium payment, Jamsostek and BPJS Kesehatan request for payment, etc.

 

Others:

 

8.         Actively involved in the Foundation's events and/or perform any additional tasks assigned by the Executive Director and/or Program Support Manager as required to support the effective operations of the Foundation entirely.

9.         Working with IT and Admin to monitor and keep track of the movement of the Foundation's assets, safe-keeping asset formal documentation in order to protect assets against potential liabilities and exposure

 

Required Qualifications and Experience

q Education

Having the diploma or degree in Economics majoring in Accountancy

q Experience

      Expected to have at least two years' experience in the accounting field, preferably in INGO or International Organizations

      Basic knowledge of MS Office applications (Excel is mandatory, Xero software is a plus).

      Experience in preparing the financial statements/reports

      Able to manage petty cash and financial transactions,

q Languages

Good communication skill in both spoken and written Bahasa Indonesia and English

·       High standards of integrity, professionalism, personal discipline and impartiality;

·       Having the understanding of finance work ethic/ finance regulation.

·       Good understanding of principles of gender equality and principles of equal opportunity;

·       Ability to work in a multicultural environment and to demonstrate gender-sensitive and non-discriminatory behavior and attitudes.
