The Australian Consortium for 'In-Country' Indonesian Studies (ACICIS) is an innovative, non-profit, educational consortium that was established in 1994 to develop and coordinate high-quality, semester-long study programs at Indonesian partner universities for Australian university students. ACICIS is the longest running provider of in-country Indonesian study programs for Australian university students and the primary mechanism through which Australian students pursue study in Indonesia for academic credit. From small beginnings as a facilitator of accredited in-country Indonesian language study, ACICIS program offerings have grown to include both semester-long and six-week professional practicum programs in a wide range of disciplines including journalism, development studies, business and commerce, and international relations. The ACICIS consortium currently counts among its membership twenty-three Australian universities (including all of Australia's Group of Eight) as well as overseas centres-of-excellence in the field of Indonesian and Southeast Asian Studies such as Leiden University in the Netherlands and SOAS University of London in the UK. The consortium's national secretariat is currently hosted by The University of Western Australia in Perth.

In Indonesia ACICIS operates through a not-for-profit foundation known as Yayasan ACICIS Studi Indonesia (The ACICIS Foundation).


A few positions have become available within The
Australian Consortium for 'In-Country' Indonesian Studies (ACICIS) for the Jakarta Office for a Program Assistant (PA). This position would suit a graduate of a local or Australian university.

Please note this position is open to Indonesian nationals (WNI) only.

 

Position Description

This is a position which would suit a graduate of an Indonesian or Australian university. The PA will mainly be assisting the ACICIS Program Coordinator/ Manager. The PA reports directly to the Program Coordinator (PC), and then the Program Manager (PM). Duties to be performed by the PA include, but are not limited to:

1.       Assisting the Resident Director (RD), Academic Program Officer (APO), Program Manager (PM), and Program Coordinator (PC) in managing the Professional Practicum programs;

2.       Serving as a liaison with the Host University, Host Organisations (HO) and maintaining sound relationships with key contacts at these institutions; 

3.       Counselling students on matters of adjustment to Indonesian life, including attention to physical adjustment, Indonesian norms of behaviour and expectations regarding dress and workplace behaviour during their programs;

4.       Assisting in establishing new Host Organisations (HO) placements and re-establishing contact with previous inactive HOs;

5.       Carrying out a series of monitoring visits to Host Organisations throughout the entire PP program;

6.       Assisting the PP APO to comply with ACICIS' guidelines and Professional Practicum programs;

7.       Conducting end of program evaluation sessions with participants and offering this information as feedback into the ongoing development and improvement of ACICIS' PP program;

8.       Assisting students in routine and/ or emergency medical or security procedures, and updating ACICIS' Risk Management Guidelines as required;

9.       Assisting PC and PM with day-to-day operations of ACICIS Jakarta office. This includes but is not limited to coordinating, maintaining and purchasing office facilities and logistical requirements (e.g. equipment, minor works, stationery and other supplies, etc.); as well as collating receipts for finance acquittals;

10.    Maintaining electronic and non-electronic student records;

11.    Assisting other ACICIS programs and tasks when directed by the RD/ PM/ PC.

 

Working Hours and Remuneration

1.       This position is based in Jakarta and is offered on a six-month contract starting 1 September 2024 – 28 February 2025.

2.       This role is full-time, 40 hours per week, with the understanding that the scheduling of program events means that the distribution of hours over the period of a week may be flexible. Standard work hours are 9am-5pm, Monday to Friday, with a one-hour lunch break. Occasional out-of-hours' work will be required during orientation sessions and extra-curricular activities or tour implementation, and will be compensated through leave in lieu;

3.       The PA role will be remunerated at a competitive rate, or commensurate with the applicant's skills and experience.

 

Selection Criteria:

1.       Bachelor's Degree (S1) from an Indonesian or Australian university with a sound academic record;

2.       Fresh graduate or up to 2 (two) years of professional experience in a similar position;

3.       Professional level of English proficiency, and a willingness to develop this further as a part of the role;

4.       Computer literacy in using the Microsoft Office suite, video conferencing platforms, cloud services, social media applications; and Photoshop/ InDesign (desirable);

5.       Excellent time management skills and the ability to priority a range of competing tasks;

6.       Demonstrated sound cross-cultural, professional communication skills in written and oral, and a willingness to learn about new cultures;

7.       A team player with a pleasant personality who can work well in flexible working environments.
