Scope of Work
Project Description: The USAID Bureau for Humanitarian Assistance (BHA) Urban Communities for Resilient Action Komunitas Perkotaan Untuk Aksi Tangguh (KUAT) funded project seeks to increase the Disaster Risk Reduction (DRR) and resilience awareness and preparedness of households and communities in high-risk urban and peri-urban villages, while boosting the capacity and coordinated engagement of public and private sector actors as key partners in DRR and resilience in Indonesia.

Objective: Internship - Administration
Job Description:
- Lead on improving the filing and archiving of finance and procurement documentation in the MI KUAT team
- Assisting the Support Services Manager reviewing vouchers and completing liquidations.
- Review the accuracy of invoice and payment requests including the applicable of supporting document and all billable expenses for allocable, allowable, and reasonable
- Support the Support Services Manager in carrying out expenditure verifications.
- Work closely with Finance to ensure all the payment request completed, cash advance to be made and other transactions until archiving process.
- Prepare payment documentation and liaise closely with the finance officer concerning payment of purchased and delivered goods and services
- Assisting in the preparation of related internal procurement documents for approval
- Assist the team in vendor selection process for related purchase of goods and services, discuss with Support Services Manager for budget management.
- Issue and collect quotations, evaluating those quotations per the appropriate procedures and maintaining the recurring local procurement files
- Ensure that all information is documented in line with Miyamoto and Donor Regulations
- Ensure best value for money is achieved and fair opportunity (competition) and transparency in negotiation
- Assist Support Service Manager to complete compulsory Vetting, for staff consultants and interns (SAM, OFAC and United Nations Security Council Sanctions search) verification within procurement files for all commodities and service purchased
- Responsible for project property control and management include inventory purchased
- Prepare logistics (goods, equipment etc…) need for the workshop and event
- Other tasks assigned by Finance Office.
Internship Fees (in IDR): A daily allowance of IDR 200,000 per day, with IDR 50,000 local transport within Jakarta. Other travel re-imbursed at cost.
Located/based in: Home based with frequent tasking in MI office Jakarta and field locations
Other: Internship will be paid via bank wire transfer monthly on submission of timesheet.
