ABOUT CRS

Catholic Relief Services is the official international humanitarian agency of the Catholic community in the United States. CRS' relief and development work are accomplished through programs of emergency response, HIV, health, agriculture, education, microfinance and peacebuilding.

CRS has been operating in Indonesia since 1957 under the Memorandum of Understanding with the Ministry of Social Affairs to provide both humanitarian response and long-term development to the most vulnerable communities. CRS Indonesia's current strategy includes emergency preparedness and response, disaster risk reduction, climate change adaptation and integrated agriculture and livelihoods. In line with its long-term country strategy, CRS Indonesia is looking to expand programming in the area of climate change in urban contexts.

JOB SUMMARY

The Project Assistant will support day-to-day implementation, coordination, documentation, and logistics for the Caritas Australia funded Climate Action Partnerships in Asian Cities (CAPACities) project. Working closely with the city government (LGU) and local stakeholders, the role provides administrative, operational, and data support to strengthen inclusive climate governance, track climate-related data, and engage communities in climate action. The Project Assistant ensures timely activity tracking, data entry, event coordination, and reporting to uphold CRS program quality standards and maximize project impact for vulnerable urban communities.

ROLES AND KEY RESPONSIBILITIES

·       Activity Coordination & Logistics

o   Support coordination and implementation of assigned CAPACities activities against the Detailed Implementation Plan (DIP), including scheduling, invitations, venue arrangements, materials preparation, and participant follow-up, in line with CRS program quality principles, donor requirements, and good practices.

o   Assist with travel planning, procurement requests, and payment documentation for trainings, workshops, meetings, and community engagements.

·       Stakeholder Engagement

o   Liaise with city LGU focal points and help mobilize relevant stakeholders (CSO, private sector, academia, media, religious institutions, and community leaders) to support informed climate plans/policies, financing pathways, and climate governance processes.

·       Monitoring, Data & Reporting

o   Support routine monitoring of activities; collect attendance, feedback, and basic performance data; flag challenges and gaps to inform adjustments to plans and schedules.

o   Assist partners in using project tools and templates for data collection and simple analysis; compile inputs for periodic reports per established reporting schedules.

o   Complete project documentation for assigned activities; contribute case study inputs and promising practices notes.

·       Capacity Building Support

o   Provide operational and administrative support for capacity building workshops and trainings (registration, logistics, materials, translation support, and basic facilitation assistance).

o   Help capture capacity needs, training participation, and follow-up actions across LGU and city stakeholders to monitor effective impact.

·       Cross-Cutting Duties

o   Uphold CRS accountability standards and safeguarding commitments during all engagements.

o   Perform other duties as assigned to support high-quality, timely, and compliant project delivery.

DUTY STATION

This position will be based in Kupang. However, in the event of a disaster where CRS launches an emergency response, all CRS staff will be required to support the response and may be deployed to the response areas as necessary.

BASIC QUALIFICATIONS

·       Diploma or bachelor's degree in development, Public Administration, Urban/Environmental/Climate/ Natural Sciences, or related field. (Additional relevant experience may substitute for some education.)

·       1–2 years of experience in project support/administration, community engagement, or government coordination; experience with international NGOs is an advantage.

·       Proficiency in MS Windows and MS Office (Excel, Word, PowerPoint).

·       Required Languages; Proficiency in Bahasa Indonesia; basic written and oral English is a plus.

KNOWLEDGE, SKILLS AND ABILITIES

·       Strong organization, attention to detail, and timeliness in executing assigned responsibilities.

·       Good relationship management, active listening, and teamwork skills; ability to work closely with local partners and community members.

·       Proactive, service-oriented, and results-focused approach; sound judgment in problem solving.

·       Training or familiarity with Nature-based Solutions and/or Ecosystem-based Adaptation (EbA) is a plus.

PREFERRED QUALIFICATIONS

·       Excellent understanding of local NGOs and government system, with knowledge and appreciation of the vision and mission of CRS.

·       Knowledgeable in participatory development processes.

·       Respectful and accepting of cultural differences within target communities.
