Pupuk Suburkan Negeri is a new social agribusiness company, operating in Malang, East Java. We market environmentally friendly bioslurry fertilizers, in collaboration with cooperatives and cattle breeders who are biogas and bioslurry producers. We focus on the fertilizer business in the plantation sector and retail market. We are committed to helping improve the lives of farmers by providing quality, environmentally friendly, and sustainable products.

Currently we are looking for a Finance & Administration Officer to joint our team in Malang East Java.

I.           Scope of Work

The Finance & Administration Officer will be assisting the Director in carrying out financial and administration works in compliance with Standard Operations Procedures.

II.         Task and Responsibilities

The Finance & Administration Officer will be tasked with the following duties:

1.    General office management and secretarial tasks

a.    Provide administrative & secretarial support of the company.

b.   Providing, distributing, and tracking office supplies and office sundries

c.    Tracking and monitoring communication, internet and electricity utilities of the office

d.   Maintain well-ordered administration and filing system in compliance with administration requirements and procedures and Standard Operating Procedures;

e.    Organize travel and accommodation of staff and guests;

f.     Assist the Director to prepare contracts for vendors/suppliers;

g.    Organize logistic matters of meetings, events of the company

h.   Assist the Director in keeping updated legal status and permits of Company

2.         Finance :

  1. Manage petty cash fund and its administration to ensure smooth daily office operations.
  2. Prepare journal vouchers for all cash income and disbursement after checking the accuracy of the supporting documents.
  3. Prepare monthly financial report and general journals in the accounting system.
  4. Prepare transfer requests for payment to be reviewed and approved by Director.
  5. Deposit all cash received to bank account.
  6. Check the accuracy of advance liquidation report from staff and ensure the completeness of supporting documents, record the expenses into Accounting System and remind staffs who still have outstanding advances.
  7. Make bank reconciliation of accounts.
  8. Oversee and check accounts from accounting system especially advances, receivables, bank and payables are recorded correctly, up to date and do not have overdue outstanding balances.
  9. Filing all financial documents in accordance with the Standard Operating Guidelines.
  10. Calculate, pay and report company tax every month
  11. Monitor the company cash flow and provide a monthly expenditure status report to the Director

III.    Knowledge, Qualifications and Experience:

The Finance & Administration Officers expected to have the following qualifications:

·       Educational background S-1 Economy/Accounting

·       Minimum 3 years work experience, preferably in similar industry

·       Minimum 3 years experience in similar position/responsibility

·       Active English (written and verbal)

·       Strong administration (secretarial) skills

·       Advanced knowledge of major software applications (Excel, Word, PowerPoint)

·       Understand accounting process

·       Able to operate accounting/finance software/ basic Microsoft applications

·       Able to work independently and take initiatives, but also be a team worker

IV.         Contract Period

The contract period is 12 (twelve) months.
