Admin Manager

 

The Role

Under the direction of the Operations Lead, the Admin Manager will support the program's day-to-day administrative and operational tasks to ensure high-quality program operations and make sure the administration support for operational activities is completed to enable technical project component team function at the fullest to achieve organization's objectives.


The Admin Manager will coordinate activities by scheduling work assignments, setting priorities, and directing the work of subordinate employees. He/she will ensure and coordinate overall activities related to office management.  He/she will also be responsible for supporting the Operations Lead in line with the Operation Manual of the PROAKTIF Program according to DT Global Policies and Procedures. The Admin Manager will also supervise Office Assistant and Driver.

Program Background

PROAKTIF is the next phase of the Towards a Strong and Prosperous Indonesian Society (MAHKOTA) program (2015-2023) and will support Australia's long standing strategic partnership with the Vice President's Office. In addition to providing leadership and mandated authority to the National Team for the Acceleration of Poverty Reduction (TNP2K - a policy think tank within the Vice President's Office), the Government of Indonesia (GoI) is increasingly funding the operational costs of the Secretariat. Australia is the primary donor for the TNP2K Secretariat. This longstanding partnership has contributed to Australia and Indonesia's joint goals to address poverty and inequality, reduce barriers to inclusive economic growth, and maintain stability.

 

PROAKTIF has two outcomes which emphasise Australia's intent to support and empower the TNP2K Secretariat over the next three years: 1) TNP2K makes an effective contribution to reforming and improving poverty alleviation programs in Indonesia, and 2) As an enabling facility, PROAKTIF optimises TNP2K performance, including in the promotion of GEDSI and performance monitoring.

 

The PROAKTIF team will support the work of the TNP2K Secretariat to fulfil its mandate to reform and improve GoI's long term poverty alleviation efforts.

About You

It is expected that the successful candidate will possess the following:

  • Bachelor Degree and 10 years of relevant experience.
  • Demonstrated experience in the establishment and oversight of administrative procedures and systems,
  • Track record working on development programs (preferably donor-funded) managing program administrative     matters.
  • Good knowledge of Government of Indonesia SBM payments/allowances framework for public servants.
  • Excellent communication, interpersonal and negotiation skills
  • A high level of proficiency in written, listening and spoken English is required.
  • Attention to detail, ability to be flexible and work well under pressure in a multi-task environment
  • Proficiency in Excel, Word, Outlook. Power Point
  • Preferably previous experience in office management and procurement, in a multi-culture stakeholder      environment
  • Ability to work as a member of a team.
  • Strong interpersonal and intercultural skills.
  • Ability to work effectively with individuals at all levels of an organisation.
  • Understanding of and commitment to capacity development and skills transfer activities.
  • Demonstrated experience and capacity to provide colleagues with supportive advice and strengthening through mentoring and modelling.

Remuneration

The remuneration level at which the position is engaged is 5C under the PROAKTIF National Salary Scale and will be based on the successful candidates' relevant skills and experience. This is a fixed-term position.
