Project: PHARS - Regenerative Forest and Agroforestry Management in Sigi (Pengelolaan Hutan dan Agroforestri Regeneratif Sigi)

Organizational and Project Background:
ADRA Indonesia – The Adventist Development and Relief Agency is humanitarian organization with mission to serving humanity so that all may live as God intended. Registered as Yayasan ADRA Indonesia, we are part of a global ADRA network, with a presence in approximately 125 countries, focusing on key areas such as Emergency Response, Emergency Recovery, Livelihoods, Economic Development, Shelter, Basic Education, Primary Health, and Disaster Risk Reduction.
One of ADRA Indonesia's key initiatives is the PHARS Project - Regenerative Forest and Agroforestry Management (Pengelolaan Hutan dan Agroforestri Regeneratif Sigi) in Sigi project, located in the Marawola Sub-district, Central Sulawesi, aims to enhance the livelihoods of Indigenous communities through strengthening capacity and provide resources to boost agricultural productivity, diversify income sources while addressing deforestation and protecting biodiversity. Restoring and managing critical lands using nature-based solutions, climate-resilient forestry, and the establishment of carbon sinks are the important aspects of this project.
The rehabilitation of degraded forest lands in 12 villages will be conducted along with the technical support for the acquisition of social forestry permits and facilitates the village government to establish BUMDES, cooperatives or other business entities to manage their local resources for afforestation and other green economic activities. It also seeks to improve market access for regenerative agriculture and agroforestry products and introduces carbon credits and the National Emissions Compensation System in Marawola Barat. By working closely with local leaders and the Indigenous community, the project aims to foster long-term development that aligns with the values and traditions of the Indigenous communities while promoting gender equality and social inclusion.
Position Summary
The Administration and Logistic Officer will provide essential support to ensure the efficient operation and success of the PHARS project. This role involves coordinating closely with the Finance and Project team to deliver critical operational support. Responsibilities include managing administration for the field and office, overseeing staff logistics, and organizing the logistics for meetings, workshops, and monitoring visits, including catering arrangements. The Officer will also handle administrative tasks such as documentation, record-keeping, procurement, inventory management, and transportation. Additionally, the Officer will ensure that all activities comply with donor requirements and organizational policies.
Main Duties and Responsibilities:
The main duties and responsibilities to be performed by the Administration and Logistics include, but are not limited to, the following:
· Manage day-to-day administrative tasks to ensure the smooth operation of the project office by handling routine administrative functions.
· Maintain record, documentation, and filing systems in line with ADRA Indonesia and donor requirements.
· Assist in the preparation and processing of project-related documents, including contracts, procurement requests, and financial reports.
· Coordinate with local suppliers, and service providers to ensure timely and efficient delivery of goods and services.
· Provide administrative and logistic support for meetings, workshops, and field visits, ensuring all necessary materials and logistics are organized.
· Manage procurement, inventory, and transportation to meet the project's logistical requirements.
· Coordinate procurement activities, adhering to ADRA's policies and donor regulations.
· Monitor and manage the inventory of project equipment and supplies, ensuring they are properly stored, maintained, and utilized.
· Back up support services in HR administration matters (timesheet, annual leave log)
· Supervise support staff (eg cleaner and driver) to maintain office and car cleanliness and neatness
Qualifications
· Bachelor's degree in Business Administration, Logistics, Management, or a related field.
· At least 3 years of experience in administrative and finance roles, preferably within an NGO or development project context.
· Proven experience in finance, procurement, inventory management, and logistics coordination.
- Working knowledge of office software, including Word, Excel and PowerPoint.
- Must be well organized, and a self-starter with attention to detail.
- Must have excellent communication skills and good command in both written and spoken Bahasa Indonesian. Good English skills are desired.
- Sensitivity to cultural differences and understanding of the ethical issues.
- Ability to manage and complete numerous tasks with a high degree of organization and limited resources.
- Experience of proactively identifying risk, addressing issues and appropriately communicating these to the project staff and country office as needed.
- Able to work independently and on a team.
- Ability to meet deadlines with strong attention to consistency, detail, and quality.
· Familiarity with donor requirements, especially related to logistics and procurement, is highly desirable
· Ability to drive a motorbike.
