Programme Communication Specialist         


ROLE PURPOSE
Programme Communication Specialist will develop communication work plan for 3 thematic programs and relevant projects under Humanitarian Resilience Program (HRP) and lead the implementation under supervision of Media and Communication Manager. The job holder will have a consulting and coordinating function with HRP team to ensure the plan is in line with programme objectives as well as Plan Indonesia's communication guideline. During Emergency Response, the job holder will be part of Emergency Response team to play a leading role in coordinating communications function for emergency.

The job holder also works closely with the program staff at the national and local level to ensure effective implementation of communication activities including to document and produce communication materials, support public event, produce stories, articles and photos that showcase program achievement and disseminate them effectively to targeted audience. She/he needs to understand YPII brand guideline and be responsible to ensure all programme's communication materials and events are in line with YPII brand guideline. Job holder will also contribute to program and communications report.

As part of national communication team, job holder will also play a significant role to contribute to the development of national communication annual plan ensuring HRP communications work plan is aligned with it. The person will work together with other communication staff to develop effective social media and mass media campaign to help increase YPII brand visibility and disseminate communications products to public and key stakeholders.

Last but not least, job holder will participate meaningfully in flagship campaign at the national level, such as Girls Get Equal, International Day of the Girls, International Women's Day, National Children Day, etc, that will be led by national campaign team.


DIMENSIONS OF THE ROLE
  • This position reports to Media and Communication Manager.
  • Develop communication work plan for 3 thematic programs and relevant projects under HRP in consultation with Media & Communications Manager and HRP Manager.
  • Coordinate with project manager under HRP to ensure effective implementation of HRP communication work plan.
  • Contribute to national communication plan and report, in terms of target outreach and organisation visibility.
  • Work with HR program / project staff to produce IEC materials, write success stories, press release, support HRP public event, and media partners.
  • Coordinate with external communication team to publish high quality communication products and promote HRP public events in digital media and mass media.
  • Support communication and influencing department in national campaign initiatives (IDG, GGE, national children day, etc) when necessary.
  • As part of emergency response team to play a leading role in managing communications activities for emergency.
  • Ensure all HRP communication products produced by project team and partners comply with YPII brand guideline and communication protocol.

ACCOUNTABILITIES

Lead the development and delivery of HRP Communications workplan

  • Develop communications work plan for Humanitarian and Resilience Program (HRP) based on HRP program annual and its projects Detailed Implementation Plan making sure it is in line with the national communication plan and target
  • In collaboration with the programs team to develop agreed communication messages, targeted audience, the strategic communications product and communication channels for dissemination
  • Support public events led by HRP program/project from the communications aspects
  • Contribute to project proposal development to provide inputs for communications aspects (responsibilities, output, budget)
  • Develop communications plan for emergency response, support the emergency communication activities and recruit consultant or temporary staff when necessary
  • Contribute to the program report in the aspect of communication
  • Develop communication report to be submitted to communication manager to highlight contribution to national communication target

Support the effort of increasing YPII visibility as a leading child rights organization in the country:

  • Ensure all communication materials comply with YPII brand guideline and communication protocol.
  • Together with communication team, develop publication that help highlight YPII's works with children and girls' rights, i.e. annual report for public, newsletter, website articles, photo stocks, etc
  • Measure and record the result and effectiveness of visibility effort to public and targeted stakeholders
  • Provides training and socialization on YPII brand guideline and communication protocol for the program staff and its partner organizations and ensure the application

Lead the implementation of HRP communication work plan

  • Lead the process of developing communication materials, success stories, campaign events and reaching out to media for HRP, including emergency response (with support from consultant when necessary)
  • Work with communication team to manage and coordinate publication in social media and other platform under the program
  • Organize media/journalist visit to program/project site and maintaining media visit guideline.
  • Put target number of publication, news coverage and in-depth in local and national journalist's / mass media to be reached annually
  • Establish the program / project profile and success stories that show the unique and best approach compare to other organization.
  • Drafting content (e.g. press release, fact sheet, profile, etc) for mass media or Plan website.
  • Communication protocol and CP issues are well verified before any media visit.

Provide support to organize/arrange advocacy and campaign initiatives (IDG, GGE, IWD, national children day, etc) 

  • Support national campaign initiative to strengthen YPII positioning.
  • To be part of campaign team to support the implementation of campaign initiative and mobilize public support and vibration among young people
  • The program / project staff understand and participate to the national campaign initiative that can be held in CO, PIA or other areas in Indonesia.

Education:

Experience:

Overall, the program aims to change the narrative of the direction of the energy sector in SEA has substantially shifted towards an evidence-based energy transition (ET), aiming to increase political ambition to comply with the Paris Agreement. Trainee

A. Responsibilities

The traineeship is to support the implementation of CASE programme activities mainly on sustainable energy finance topic. 2) Assist the finance team to explore different packages of existing and potential de-risking instruments
3) Assist the finance team in updating relevant data, studies, and supporting documents for activity implementation as well as collaborating with other GIZ projects or other donors.

CHISU is a project designed to enhance host country capacity to produce high-quality health information, to optimally manage this information, and to institutionalize evidence-based decision-making. The project works with USAID- supported host country health managers, health workers, and other stakeholders to strengthen the enabling environment of health information management and strategic planning in order to: improve harmonization of fragmented information systems, reduce duplication of data collection, and improve monitoring and tracking of a country's own health trends and priorities.

The HR Specialist will work closely with the project Finance and Operations team providing support to the local Indonesia team, headquarters team, and country technical, finance and administrative staff to help ensure that CHISU functions efficiently in the areas of human resources. The HR Specialist will work under the supervision of the CHISU Finance & Administrative (F&A) Manager in Indonesia.

RESPONSIBILITIES

  • In charge of carrying out the recruitment process, ensure that the recruitment requirement is fulfilled, review the JD, posting ads and manage the hiring process.
  • Responsible for managing all the administrative requirements of the recruitment process until the candidate is ready for the contract signing.
  • Process employment agreements for new hires or extensions, including ensuring their registration with project's health insurance carrier; social security, BPJS health, pension and management of orientation/onboarding.
  • Manage HR files and staff directory in line with Local Hire Employee Manual (LHEM) and Indonesia employment laws and regulations
  • Supervise the electronic staff timesheet system in leave day tracking, payroll processing and other related activities and ensure timely recording and approval of timesheets
  • Handle health insurance claim and submission to the health insurance provider
  • Train staff on HR processes, systems, procedures, and other necessary HR related training
  • Assist F&A Manager to manage the administration of tax obligation including calculation of withholding taxes and submission of tax returns, distributing withholding tax slips to staff, consultant, and vendor
  • Assist the F&A Manager to manage remuneration process and ensure adherence and implementation of the Local Compensation Plan (LCP)
  • Assist F&A Manager in ensuring HR policies/procedures are being implemented properly and consistently in the office, and assist in implementation of all HR related policies and procedures when needed
  • Lead the procurement process in the selection of a pension plan
  • Conduct staff annual performance review
  • Ensure project complies with JSI, governmental and Indonesia Labor Law rules and regulation
  • Other duties consistent with the overall focus of the assignment as assigned by the F&A Manager

QUALIFICATIONS

  • A Bachelor's degree and a minimum of 5 years working in the field of human resources, international development, or business, including relevant in-country experience
  • Ability to work independently with minimum supervision in a fast-paced environment is required
  • Excellent written and verbal communication, analytical, decision making, problem solving, and administrative skills are required
  • Computer skills included in MS Office (minimum of Word and Excel experience), and Internet are required.
  • Work experience with a USAID is desirable
  • Excellent organizational skills and attention to detail are required; and
  • Native/Fluent Bahasa and practical knowledge of English are required.

Salary commensurate with experience.

join our team as a Project Coordinator

Purpose/Role
To lead a team of project officers to ensure the appropriate and
professional implementation of Second Chance projects in the most
efficient manner possible. To ensure the delivery of each project's
objectives and outputs are achieved according to the corresponding
work plan and within the contracted project period.

Task and Responsibilities:

1. Lead and coordinate the project team to ensure a successful
implementation, reporting and management of each project.
2. Familiarity with project documentation, including but not limited
to: MOU with Ministry, the donor contract, project proposal and
budgetary approval
3. Develop proposals in consultation with officers, line management
and local government partners
4. Monitor existing Project outputs and indicators; develop monthly
implementation plans and reports
5. Develop implementation and monitoring plan based on approved
workplan in a timely manner.
6. Provide technical assistance and support to project officers and
counterpart staffs as required
7. Develop and maintain an updated workplan and job descriptions for
all Project staffs.
8. Provide job training and coaching/mentoring to Project staffs.
9. Establish and maintain positive working relationships with partners
and institutions involved in different projects.
10. Supervise the operation side of the activities.
11. Financial/Asset Management: Establish project financial management
and monitoring systems that are compatible with the foundation's
policies and procedures.
12. Generate a monthly project expenditure report for submission to
the Finance Department.

Qualification:

1. A minimum of Bachelor's degree in Social Work, Political Science,
Sociology or related field.
2. Minimum 5 years of working experience in project management and
implementation within an INGO or related environment.
3. Proven work experience in project development, implementation and
monitoring.
4. Advance knowledge on project cycle management, community
development and mobilization with key stakeholders, especially
government counterparts.
5. Professional proficiency in Microsoft Office; Word, PowerPoint, and Excel.
6. Problem solving attitude and strong communication skills to work
collaboratively with other team members.
7. Efficient time-management skills.
8. Fluent in English, verbal and written.
