The United States Peace Corps program in Indonesia has opened recruitment for qualified and motivated candidates for positions in SURABAYA.

Statement Of Work – GSA:

 General Description

The General Services Assistant (GSA) works under the direction of the General Services Manager

(GSM) with a broad range of general services activities and in close coordination with the Information Technology Specialist (ITS) in providing administrative support related to IT needs. The GSA will drive Peace Corps vehicles when required. The GSA also supports the Management and Operations Team with various administrative duties as assigned or necessary for effective post operations. The GSA role encompasses diverse responsibilities; accordingly, the GSA will be a genuine team player who possesses a positive attitude; personal flexibility and self-initiative; and who consistently demonstrates an outstanding work ethic, spirit of cooperation and customer service to assist. The GSA's activities include, but are not limited to, the duties and responsibilities in this Statement of Work.

 

Peace Corps Indonesia employs several weeks of orientation and training to prepare new staff members for their roles in the organization.

 

Summary of Responsibilities

Logistic, Facilities, and Maintenance

§  Assists with coordinating logistic arrangements especially during Pre-Service Training or other Peace Corps events.

§  Assists with moving of furniture and equipment and retrieving supplies from storage, as needed, and also assists in managing available storage space.

§  Files maintenance records and maintenance schedules, including cost information, on all non-expendable property from purchase through disposition.

§  Performs general maintenance of office and office resources/equipment, such as changing office light bulbs, changing water filters, and conducting minor office or staff residential repairs.

§  Supports all activities carried out by post during an emergency and understands role and responsibilities in Post's Emergency Action Plan.

§  Assists with monitoring all properties for maintenance and upholding requirements which include safeguarding government property and premises from fire, theft, vandalism, or unauthorized intrusion.

 

Administrative and IT Support

§  Updates inventory records in Sunflower.

§  Picks up/delivers mail, documents, and packages to/from the post office, the United States Consulate or other designated sites on a daily or as needed basis. May assist in sorting and distribution of mail.

§  Coordinates payment of utility bills for the United States Direct Hire (USDH) residences and the office.

§  Assists GSM with document reproduction, organization and ordering of office supplies, and research of providers of supplies and services.

§  Assists GSM with maintaining fuel consumption records, inventory, inputting data into Vehicle Management Information System (VMIS), etc.

§  Ensures that the main Peace Corps phone line is answered during business hours and maintains and communicates an up-to-date directory of staff contact information.

§  Assists IT Specialist with purchasing and storage of IT supplies and equipment, as well as the IT inventory and related documentation.

§  Act as point of contact for IT related needs at the Pre-Service Training (PST) office

 

Fleet Management

§  Assist GSM with coordination of driver schedule and vehicles for office operations.

§  Accumulates weekly vehicle mileage logs and prepares a monthly summary of usage by vehicle and by driver in VMIS

§  Maintains a schedule of regular servicing and ensures vehicles are serviced on schedule.

 

Other

§  Serves as back-up support for and/or carries out the duties and responsibilities of the GSM and GSTD when deemed necessary by the Director of Management and Operations and/or Supervisor for the successful management of Peace Corps operations

§  Acting as Back-up IT when the ITS is on leave or absent.

§  Provides clerical and logistical support for TDY staff.

§  Performs other duties or assignments, when deemed necessary by the Country Director and/or DMO, for the successful management of Peace Corps operations.

 

Qualification

Minimum Requirement:

At a minimum, the successful candidate's CV must demonstrated the following:

§  Education/Certification: Graduate from high School or Vocational School Diploma

§  Tears of Experience: A minimum of 3 years of experience in a similar capacity with international organizations

§  Experience working in cross-cultural settings as part of an intercultural team

§  Proficiency in oral and written English and Bahasa Indonesia

§  Previous experience using MS Office computer applications (Word, Excel, Outlook)

§  Understanding of basic information Technology software and hardware i.e. application backup exec, Hyper-V, Active Directory, Internet connections, printer-scanner, etc.

§  Must possess a valid driving license

§  Skilled in driving safely in difficult traffic and road conditions

 


Preferred Qualifications:

§  Education/Certification: Information Technology

§  General knowledge of logistics management

§  Understanding of basic procurement principles

§  Understanding of asset management is desired

§  Skill and abilities with small equipment and vehicle maintenance is desired
